Job Description
The Office Administrative Assistant performs a wide range of clerical and administrative duties to support department staff and assist the public. This role is essential to maintaining smooth office operations, accurate record-keeping, and effective communication.
Supervision Received
This position receives general supervision from the Director of Regional Housing Choice Voucher and/or the assigned department supervisor.
Essential Duties and Responsibilities
- Type, proofread, format, and prepare reports, forms, and correspondence
- Maintain, update, and organize records and files with accuracy and confidentiality
- Receive, sort, and distribute incoming mail and correspondence
- Answer and direct phone calls, take messages, and respond to inquiries in a professional and courteous manner
- Assist clients and members of the public in person, by phone, and via email
- Operate standard office equipment, including computers, printers, copiers, and other office devices
- Organize, file, and maintain documents using alphabetical, indexed, and cross-referenced filing systems
