Job Summary
The Office Manager / HR Assistant plays a critical role in ensuring the smooth daily operations of the current (and future) offices in the Mid-Atlantic region, supporting the Division Leaders and providing key support to the People Operations Team. This position is ideal for a highly organized, detail-oriented professional who thrives in a fast-paced environment, enjoys wearing multiple hats, and takes pride in supporting both people and processes. The role combines office and HR administration to foster a productive, positive, and well-supported workplace.
Key Responsibilities
Administrative & Office Management
- Oversee general office operations and administrative functions to ensure efficiency.
- Manage office supply inventory and vendor relationships; process orders as needed.
- Handle incoming and outgoing mail, phone calls, and general correspondence.
- Collaborate with IT to set up new employee systems and troubleshoot hardware/software issues.
- Coordinate shipping logistics for goods to customers and vendors.
- Manage building maintenance and service provider relationships.
HR Support
- Assist with new hire onboarding, including paperwork, I-9 verification, and technology setup.
- Support offboarding processes and maintain compliance with HR documentation.
- Answer HR-related inquiries and provide guidance on policies and procedures.
- Coordinate employee recognition programs, awards, and gifts for birthdays, anniversaries, and special events.
- Assist with People Operations strategic initiatives for continued organizational enhancements
Culture & Engagement
- Plan and execute company events, team-building activities, and division town halls.
- Organize monthly employee celebrations (birthdays, anniversaries, recognition events, quarterly and annual awards).
- Coordinate lunches and catering for special occasions.
- Maintain internal communications platforms (Yodeck, MS Teams, etc.)
Division Leader Support
- Serve as a primary administrative support resource for the Division Leader, including scheduling, communications, and general coordination
- Act as a trusted, flexible partner to division leadership by providing additional administrative and operational support as business needs arise
Qualifications
- High school diploma or equivalent required; Associate’s degree preferred.
- 5+ years of administrative and clerical experience required.
- 3+ years of HR administrative experience required.
- Ability to travel between offices on a weekly basis as needed.
- Strong knowledge of office management procedures and best practices.
- Excellent organizational, time management, and problem-solving skills.
- Outstanding interpersonal, verbal, and written communication abilities.
Proficiency in Microsoft Office Suite; comfort with office technologies and systems.
